Effective date: September 26, 2026
Summary
Taskdrop turns voice notes into tasks. The app has no account, ads, third-party analytics or tracking. Your tasks are stored on your device.
To turn what you said into tasks with dates, Taskdrop sends the text of your dictation (not the audio) to the Taskdrop server, which passes it to OpenAI. The Taskdrop server does not store this text.
Who is responsible
The processing described in this policy is carried out by Artur Popov, an independent developer based in Spain.
Privacy questions: pixelsnakeinfo@gmail.com.
Voice and speech recognition
The microphone is on only while you record: after you tap the microphone, or start a recording through Siri, Shortcuts or the Action Button. Apple converts speech to text (Speech framework), on your device or on Apple’s servers depending on your iOS version, language and connection. When you are offline, Taskdrop asks for on-device recognition. The audio is not sent to Artur and is not stored by Taskdrop. Apple’s processing of speech is described in Apple’s privacy policy.
Sharing text with OpenAI
After a recording, Taskdrop sends the following to the Taskdrop server:
- the text of your dictation;
- the interface language, your time zone and the time of the recording, so that “tomorrow” and “at 3 pm” are understood correctly;
- the app version and platform (iOS or macOS);
- a random installation ID and a request ID.
The server sends the dictation text, language, time zone and recording time to OpenAI (OpenAI API) and returns the list of tasks to the app. The installation ID, your device’s IP address and your Apple Account details are not sent to OpenAI.
The Taskdrop server does not store the dictation text or the result. Its technical logs contain only the request ID, the time and duration of processing, the number of tasks found and error codes — never the text.
OpenAI processes API requests under its own terms and privacy policy. According to OpenAI’s published rules, API data is not used to train models by default and may be retained for a limited time for abuse monitoring.
Do not dictate anything you do not want to share with OpenAI, such as passwords, card numbers, health data or other sensitive information.
When you are offline, the text is first saved on your device and sent later, once you are connected. You can save a recording as a plain text task or delete it without sending it.
Legal basis: Art. 6(1)(b) GDPR — processing the text is the feature you request when you dictate a task.
Abuse protection
To limit the request rate and server costs, Taskdrop uses your IP address, which the hosting provider receives, and the random installation ID. The ID is generated on your device, is not linked to your name, Apple Account or advertising identifier, and changes if you reinstall the app. Request counters are kept briefly: per IP address and installation ID for about a minute, and a server-wide daily counter without identifiers for up to two days.
Legal basis: legitimate interest in protecting the service from abuse (Art. 6(1)(f) GDPR).
Data on your device
Tasks, pending recordings and settings are stored on your device. A copy of the task list is kept in the app’s shared container for the widget. This data is included in your device backup (iCloud or computer) according to your iOS settings. Taskdrop does not sync tasks through its server.
You can delete the data in Settings → “Data & Privacy” → “Delete All Tasks”, or by deleting the app.
Calendar and Reminders
Access to Calendar and Reminders is used only to export tasks. Taskdrop adds an entry when you tap “Save and add”, or automatically after you confirm a task with a date, if recognition is confident and access is granted. Taskdrop reads the list of calendars so you can choose one, but it does not read or share the contents of your events and reminders. Taskdrop never deletes entries in Calendar or Reminders.
Lock Screen, widget and notifications
While you record, a Live Activity may show the beginning of your dictation on the Lock Screen and in the Dynamic Island. The widget and the morning and evening summaries show task titles. Notifications are created on your device, without a server. What is visible on a locked screen depends on your iOS settings.
Support emails
If you write to pixelsnakeinfo@gmail.com, Artur receives your address, the message and any attachments. This is needed to reply and fix the problem. Legal basis: legitimate interest in supporting users (Art. 6(1)(f) GDPR). Your email provider and Google (Gmail) also process the message under their own terms.
Recipients and transfers outside the EEA
Artur does not sell or rent personal data. Data is processed by:
- OpenAI — turning dictation text into tasks;
- Vercel — hosting the Taskdrop server;
- Upstash — short-lived request-rate counters;
- Apple — speech recognition, the App Store and backups according to your settings;
- Google — the support mailbox.
These companies may process data outside the EEA, including in the United States, with safeguards provided in their terms (for example, EU Standard Contractual Clauses).
Retention
- Dictation text is not stored on the Taskdrop server; OpenAI retains API data according to its API rules.
- Request-rate counters are deleted automatically, within a minute to two days.
- Server logs without text are kept according to the hosting provider’s rules.
- Data on your device stays until you delete it.
- Support correspondence is kept for up to 12 months after the last reply, unless the law requires longer.
Children
Taskdrop is not intended for children under 14 and does not knowingly collect their data. If you believe a child has sent personal data, contact Artur to have it deleted.
Your rights
Subject to applicable law, you can request access, rectification, erasure or restriction of processing, object to processing based on legitimate interest, and receive a portable copy where that right applies. Write to pixelsnakeinfo@gmail.com. Most Taskdrop data exists only on your device, and Artur cannot see or delete it — delete it in the app.
You can lodge a complaint with the Spanish Data Protection Agency (AEPD) or the supervisory authority where you live or work.
Changes
If the way Taskdrop processes data changes, this policy will be updated before or at the same time as the change. The date at the top shows the latest version.
